Creative Operations Coordinator

Onward Search is in search of a Creative Operations Coordinator for a prominent global tech company. In this role, you will collaborate with the Product, Design, and Marketing Operations teams, facilitating coordination among various team leads, their respective groups, and cross-functional partners. We are looking for a highly organized, resourceful, and adaptable team player with a creative and results-oriented mindset. This is a full-time, 6-month (potential to extend) contract opportunity that is hybrid onsite in Los Angeles, CA.  

As a Creative Operations Coordinator you’ll: 

• Prioritize and schedule meetings among multiple Ops team leads and their cross-functional partners
• Manage distribution lists for communications and calendars across various team leads' teams
• Collaborate with executive admins to coordinate the scheduling of crucial leadership meetings
• Assist in note-taking during selected meetings and contribute to driving post-action items
• Organize and provide support for team-based events, all-hands meetings, and offsites
• Maintain a shared team calendar to ensure efficient coordination
• Facilitate communication of team updates
• Assist in tracking projects and priorities across Ops teams
• Support the execution of Ops projects as required

Creative Operations Coordinator Skills & Experience needed:  

• 4+ years experience supporting discipline leads and/or cross-functional teams in an administrative capacity
• Experience working with / understanding the needs of creative organizations
• Experience collaborating with distributed teams as well as stakeholders across EMEA and APAC time zones. 
• Exceptional attention to detail and precision
• Outstanding organizational skills, demonstrating a structured approach to time management and adaptability to changes
• Capable of working effectively with minimal guidance and supervision, showcasing independent problem-solving abilities
• Skilled and professional in communicating with cross-functional stakeholders and senior management
• Proven track record of navigating and prioritizing competing tasks, diligently following up on action items, and meeting deadlines
• Consistently enhances and refines processes for increased efficiency
• Demonstrates discretion in handling confidential materials and issues
• Proficient in virtual collaboration tools such as Quip, Slack, and Webex
• Familiarity with project and task management tools like Airtable, Wrike, or similar platforms
• Holds a bachelor's degree
