Our client, an innovative finance company, is looking for Event Specialists to join their team for a long term, onsite contract!
You will be responsible for the following:
Working with hotels to manage housing lists, A/V orders, event set up, and menu development for events ranging from 90-900 people.
Assisting in the development of event websites, event emails and other relevant event collateral.
Creating and managing event registration utilizing registration management software.
Providing necessary documentation to help reconcile multi-million dollar event budgets.
Partnering with the corporate events team to create and manage timelines for events, including external vendor timelines and internal departmental timelines.
Partnering with events team to monitor and streamline a standardized work-flow process for event planning.
Supporting event team as needed, maintaining relevant event databases and mailing lists.
Providing onsite support at events to ensure smooth execution of event plans.
3+ years of professional event planning experience, preferably in a corporate environment.
Experience using online registration management software required.
Ability to evaluate options under circumstances that are outside of established procedure or plan, moving forward with best solution with minimal guidance.
Track record of successful event execution of multiple events with varied priorities.
Strong program, project and time management skills.
Proven problem solver, ability to think and make decisions "on your feet".
Ability to work overtime and weekends as necessary to accommodate heavy event workloads and demanding deadlines.
Ability to travel up to 6 weeks annually for event planning and onsite event support.
