Onward Search has an exciting contract opportunity for an Executive Assistant that will be assisting the SVP of Product Management at a well known Health & Wellness company. This role is contracted to start and is on-site in downtown San Francisco.

Executive Support:

  • Completes a broad variety of administrative task for the Senior Vice President of Product Management, including: managing extremely active calendars, completing expenses reports;
  • Plans, coordinates and ensures Senior Vice President of Product Management’s schedules are followed and respected. Provides “gatekeeper” and “gateway, win-win solutions for direct access to the Senior Vice President of Product Management.
  • Communicates directly, and on behalf of the Senior Vice President of Product Management, with other executives, internal staff, and external constituents on matters related to Product Management initiatives and efforts.
  • Provides smooth communication between the Senior Vice President of Product Management and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • Works closely and effectively with the Senior Vice President of Product Management to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a “barometer” having a sense for the issues taking place in the environment and keeping them updated.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively and follows-through on projects to successful completion, often with deadline pressures.

Executive Relationship Support and Liaison:

  • Serves as the administrative liaison to other executives providing scheduling coordination and backfill support as needed, working closely with other Executive Assistants.
  • Supports meetings and travel in coordination with other executives’ calendars, assisting with travel arrangements, meal planning, agendas, and itineraries.
  • Maintains discretion and confidentiality in relationships with all executives.

Senior Management Liaison:

  • Participates as an adjunct member of the Executive Team including assisting in scheduling meetings, taking down notes and action items.
  • Responsible for the planning and coordination of senior management staff meetings, off-sites, and all company meetings.
  • Facilitates cross-divisional coordination of travel and outreach plans.

Basic Qualifications:

  • 3+ years’ experience:
    • Minimum 1-2 years supporting an executive-level position in a public company.
    • 3+ years of progressively increasing responsibility as an Executive Assistant with a solid track record providing support for directors and executives.
  • Comfortable using both Mac and PCs; advanced understanding of Microsoft Suite, Google Apps, teleconferencing applications, expense management, HR and legal platforms.
  • Experience and interest in technology, digital health and fitness focused lifestyle.
  • Exceptional written and verbal communication skills.
  • Bachelor’s Degree or relevant qualifications.
