Our client, a video game company, is seeking an Event Coordinator to join the Global Esports Content Services team.
You will report to the Sr. Event Manager.
All show logistics: all tasks related to travel, hotels, transportation, staffing list, visa & immigration, catering, COVID-19 logistics needs and all fan-facing aspects of the assigned events
Align with the Sr Event Manager & Event Managers to own specific tasks related to each event
Autonomously balance the needs of colleagues, vendors, pro players, and VIPs while keeping relationships in mind, and generally be able to think of ways to refine our processes to make them more resource efficient
Work with Sr. Event Manager & Event Managers to help capture and track data across events, and track vendors we use to fulfill logistical needs, related to hotels, flight restrictions, VISAs, transportation, F&B and facilitate the vendor contracting process through various channels.
Collaborate deeply with local DMC coordinators and 3rd party logistics coordinators
Collaborate with Mobility team in understanding and delivering VISA needs for staff, Pro-Players and VIP’s, while aggregating and tracking data
Collaborate with Esports Tech to ensure technical needs in hotels for Pro Player practice rooms.
Partner with companny travel agency to ensure staff and Pro Player flights are reserved correctly
Ticketing plan and management with teams. Have clarity around the hosting country/cities rules and regulations for ticket creation and distribution, ticketing counts, etc
Works on all FOH (Front of House) facing parts of the assigned events. Merchandise, audience load-in, audience load-out, some activations (indoor and out), concessions, facilities, etc
Database Management: Organize and distribute data as it relates to all event logistics, future facing understanding of data gathering and getting ahead of pertinent data as it relates to hotels, immigration, logistics
Post event budget actualization with the logistics team in assisting the aggregation and collection of data, and reviewing its accuracy is it relates to hotel, airfare, food and beverage and relevant travel costs
2+ years work experience in event logistics
Live event experience coordinating and working with lots of data and collaboration between many departments
Communication skills between multiple team members around the world is a key component of this job. Must be clear and concise
Attention to detail, data aggregation and distribution, great organization
Experience creating tools, developing timelines, and following budget
Will work consecutive days on events then have longer breaks also at home
