Our client, a creative experiential agency, is seeking a Project/Account Manager to join their team.

You will report to the Director of Projection and be responsible for:

  • Maintain the day-to-day relationship with the client responsible for the success of all projects; through timely delivery, budget adherence, upholding original goals and client satisfaction and confidence.
  • Work closely with Program Manager and Account Director to translate the client’s goals and objectives into strategic, actionable plans, and work towards developing and executing sustainable program processes.
  • Ensure client stay 2-3 events ahead in planning and preparation, arming the Program Manager and thereby client with all dates and deadlines keeping the individual project pace running smoothly for an efficient and successful program.
  • Act as the hub of a project, working with the various internal teams and outside vendors.
  • Obtain project brief from the client; create agency brief, working with the Creative Lead.
  • Address administrative duties, including requesting job number to be opened and budget entry in Harvest.
  • Schedule, create meeting agendas and attend client and internal briefings, meetings, calls, and presentations.
  • Coordinate client and internal meetings, including scheduling, agendas, and recaps.
  • Manage project timelines by building work back schedules and routing to the client. As approvals or due dates change or are missed by the client, update timeline to keep client aware of revised dates.
  • Generate client-facing project cost estimates, as well as internal labor breakdown. Documentation to be routed through Studio Manager and Managing Director.
  • Track vendor and contractor costs. Obtain estimates from vendors, and make sure their values are within the estimate.
  • Keep Studio Manager and Managing Director aware of job costs if they exceed the project estimate.
  • Run project actuals, including vendors costs and expenses, on a weekly basis and flag any issues to the Studio Manager.
  • Share/plan for building mechanical files and deliverables ensuring the highest level of quality control is maintained, including a review of deliverables and proofreading before routing back to the client.
  • Work with Operations Manager on payment details, including purchase orders, billing schedule and invoicing verification.

Experience:

  • 4-6 years experiential agency client facing experience.
  • Comfortable managing internally and externally maintaining day-to-day contact with client on deadlines, needed assets for the job, project costs, deliverables, and expectations.
  • Lead project teams with a positive attitude, motivation, respect and a sense of pride.
  • Experience managing all feedback and assets from clients and/or internal parties organizing within project folders.
  • Comfortable creating and updating internal documentation, including job tracking list, Hit List, Component Lists, Briefs, and Assets Log.
  • Experience translating project goals and strategies into actionable plans and guidance for team members.
  • Managing the life of each project at every stage and advise if there are any problems in workflow or work style.
  • The job may also involve management of direct reports as well as domestic travel.
