Our client, an international law firm with offices in the Loop, is seeking a Proposal Coordinator to join their team.  In this role, you will work with a team to handle large multi –practice area RFPs.  

Duties and Responsibilities
  • Produce RFP responses under the direction of Sr. Proposal Writing Manager or other marketing staff
  • Coordinate and produce pre-qualification submittals/Requests for Information (RFIs)
  • Review proposal requirements and develop Work Plan drafts
  • Craft key messages and team differentiation statements to target audience(s)
  • Schedule coordination calls/meetings
  • Request research packages
  • Interact with various firmwide departments to obtain up-to-date information
  • Review and edit presentation materials for internal trainings
  • Work with creative staff to request graphic materials to support proposals and presentations
  • Manage production of drafts and oversee version control
  • Coordinate with in-house printing or courier services
  • Schedule proposal/presentation review session(s)
  • Coordinate final files and logistics
  • Maintain organization of team’s files within firm’s document management system
  • Create and update records in firm’s record management system
  • Provide record copies to select lawyers
  • Update content management system as new assets are developed
  • Archive past proposals and presentations to the appropriate locations
  • Maintain/update content in the RFP procedure manual
  • Track and report metrics on proposal activity
  • File and organize marketing tools and materials

 

Experience Required:

  • 2+ years exposure to complex RFPs and proposals
  • Excellent grammar/proofreading skills along with excellent writing and reading comprehension skills
  • Flexibility to work OT as needed including evenings and weekends (must have ability to adjust to last minute requests or changes to meet lawyer requests)
  • Proficency with PowerPoint and Excel experience.
  • Open to industry but law firm or professional services experience is preferred.
