Our client, an international law firm with offices in the Loop, is seeking a Proposal Coordinator to join their team. In this role, you will work with a team to handle large multi –practice area RFPs.
Duties and Responsibilities
Produce RFP responses under the direction of Sr. Proposal Writing Manager or other marketing staff
Coordinate and produce pre-qualification submittals/Requests for Information (RFIs)
Review proposal requirements and develop Work Plan drafts
Craft key messages and team differentiation statements to target audience(s)
Schedule coordination calls/meetings
Request research packages
Interact with various firmwide departments to obtain up-to-date information
Review and edit presentation materials for internal trainings
Work with creative staff to request graphic materials to support proposals and presentations
Manage production of drafts and oversee version control
Coordinate with in-house printing or courier services
Schedule proposal/presentation review session(s)
Coordinate final files and logistics
Maintain organization of team’s files within firm’s document management system
Create and update records in firm’s record management system
Provide record copies to select lawyers
Update content management system as new assets are developed
Archive past proposals and presentations to the appropriate locations
Maintain/update content in the RFP procedure manual
Track and report metrics on proposal activity
File and organize marketing tools and materials
2+ years exposure to complex RFPs and proposals
Excellent grammar/proofreading skills along with excellent writing and reading comprehension skills
Flexibility to work OT as needed including evenings and weekends (must have ability to adjust to last minute requests or changes to meet lawyer requests)
Proficency with PowerPoint and Excel experience.
Open to industry but law firm or professional services experience is preferred.
