Onward Search is looking for a freelance Vendor Management Specialist for an onsite position with a premier client in San Francisco, California.

Our client is looking for someone responsible who among other things will manage the procurement, oversight and vendor management process to successfully manage relationships with vendors. This individual will also plan, direct, and coordinate activities associated with the program as well as handle all vendor correspondence and documentation. You will work closely with other teams and individuals so team collaboration is a must. 

RESPONSIBILITIES:

  • Develop and manage assigned client relationships in a manner consistent with policies and procedures.
  • Work closely with Legal and Compliance to ensure compliance with the company regulations as well as external regulations, policies & procedures.
  • Schedule and facilitate program support meetings.
  • Ensure timely completion and distribution of required documentation (e.i. contract requests, purchase requisitions) and constant follow up with Legal and Finance team to ensure timely processing.
  • Monitor the implementation of all contractual obligations to ensure compliance with applicable agencies.
  • Prepare and assist in review of monthly status reports, test plans, design data books, and process and material specifications as required.
  • Plan and coordinate meetings on project timing, goals, and budget to ensure fulfillment of internal and customer expectations and compliance with policies and contractual requirements.
  • Provide key financial data to Program Manager on a timely basis and provide primary support point for Business Line Service Manager in ongoing supplier management and coordination of stakeholder interaction.
  • Create, maintain, and update assigned program schedules for contract deliverables and key events.
  • Assist in the creation of presentations outlining the program's strategies, products, and results associated with internal goals.
  • Communicate findings and recommendations on critical initiatives to clients and internal parties.
  • Build and maintain an accurate client database.
  • Communicate with clients and management to resolve program issues.
  • Supervise, manage, and provides operational guidance to direct staff, including providing necessary skills training.
  • Approve invoices as well as investigate and resolve problems associated with processing of invoices and purchase orders.

QUALIFICATIONS:

  • Project management experience.
  • Previous experience with Ariba is a major plus.
  • Ability to exercise professional judgement and make recommendations for decisions which have an impact on people, costs, and quality of service.
  • Proficiency in Microsoft and Atlassian (Confluence) products.
  • Strong client and team interpersonal skills with the ability to effectively interact with all internal and external business partners.
  • Able to be flexible and adaptable when dealing with change.
  • Excellent organizational skills including ability to prioritize and coordinate multiple project.
  • Strong written and verbal communications skills and ability to collaborate with a variety of stakeholders.
  • Ability to create and orate compelling presentations highly desired (PowerPoint).
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
